The AI voice agent for clinic front desks

Never miss another patient call.

Sona answers your clinic’s phone around the clock — booking, moving and cancelling appointments in your calendar, answering the questions your front desk fields all day, and calling patients to confirm tomorrow’s visits. One agent, the whole phone line.

  • Answers on the first ring, 24/7
  • Books straight into Google Calendar
  • Recordings & patient data stay in your infrastructure
  • Live in days — no IT project

The cost of a ringing phone

A call that goes to voicemail is a patient calling the next clinic

Front desks were never built for the volume. Phones ring during check-in, over lunch, after hours, all at once at 9am. Every call that isn’t picked up in three rings is revenue, and trust, walking out the door.

1 in 3
calls to a busy practice go unanswered at peak times — most never call back.
₹1,500–₹8,000
in lifetime value is lost with a single missed new-patient call.
10–20%
of booked appointments are lost to no-shows without active confirmation.
25–40%
annual front-desk turnover — every departure is months of retraining on the phones.

You can keep adding staff, answering services and hold music. Or you can hand the phone line to Sona and get your front desk back.

Directional figures from published practice-management benchmarks. Your numbers will vary — we’ll model them with you.

What it does

One agent for every call your clinic gets

Not a menu, not a message-taker. Sona handles the whole call — inbound and outbound — and finishes the job on the tools your team already uses.

01

New appointments

Patients book by voice in under a minute. Sona takes the name, date and time from normal speech — no phone-tree, no forms — checks live availability, and writes the appointment to your calendar.

02

Reschedules

“Can we move it to Thursday?” Sona finds the patient’s upcoming visit by their number, confirms which one, and moves the existing calendar event. It never creates a duplicate.

03

Cancellations

Clean cancellations, read back for confirmation, off the calendar and out of the day’s count — with the slot freed so your waitlist can fill it.

04

Clinic questions

Hours, location, parking, insurance accepted, consultation and follow-up fees, telehealth, prep instructions — answered from your documents, word for word, never guessed.

05

Confirmations & reminders

The evening before, Sona calls tomorrow’s patients: “Will you be able to make it?” Confirmed, cancelled or unsure — the answer is in your system before the day starts, and freed slots are flagged for backfill.

06

After-hours & overflow

Nights, weekends, lunch, and every call your team can’t reach in three rings. Nothing goes to voicemail. Anything urgent is routed straight to your on-call line.

Listen in

Ninety seconds. A booking, a reschedule, a question.

One inbound call, the way a patient actually talks — no keywords, no repeating themselves. The notes show what Sona is doing underneath.

Sona

Thank you for calling Mathrutva’s Poly Clinic. How can I help you today?

Caller

Hi, I’d like to book an appointment for tomorrow at 5 PM. It’s for me — Anita.

Sona

5 PM tomorrow is open. You’re booked, Anita. Anything else?

Name, date and time were all in the first sentence — Sona doesn’t ask again. Availability checked, appointment written to the calendar.

Caller

Actually, can you move it to 6?

Sona

Done — your appointment is now tomorrow at 6 PM.

Read as a change to the appointment just made. The existing calendar event is moved, not duplicated.

Caller

And what are your Sunday timings?

Sona

On Sundays the clinic is open 10 AM to 1 PM — consultations only, no lab.

Answered from the clinic’s own documents. If it weren’t in there, Sona would say so and offer a callback.

Caller

Perfect, thanks. Bye.

Sona

You’re welcome. See you at 6 tomorrow — take care.

Built for a clinic, not a demo

The guardrails that let you put it on the phone

It doesn’t improvise

Clinic facts come only from the documents you connect. If the answer isn’t there, Sona says so and offers a callback — it never fills the gap with a plausible guess.

It doesn’t give medical advice

Symptom questions, triage and emergencies are handed to a human immediately, on the line you specify. Sona books and informs; it does not diagnose.

Your calendar is the system of record

Sona changes the real calendar event first and only then updates its own copy. If that write fails, the patient is never told the change is done.

Times are exact

“5 PM” is booked as 5:00 — never rounded, never nudged to a nearby open slot. Dates and names carry through the call untouched.

Everything is on the record

Full transcript, call recording and the structured data captured on every call, retained for audit and pushed to your systems by webhook.

Your data, your servers

Deploy Sona in your own cloud or on-prem so recordings and patient details never leave your perimeter. SSO, audit logs and HIPAA / PCI / SOC 2 support on the Customization plan.

Going live

Live in days, not a quarter

No EHR rip-and-replace. No professional-services engagement. Three steps, and Sona is on the line.

  1. 1

Connect a number & your calendar

Point an existing or new number at Sona and link your Google Calendar. Works with Twilio, Vonage, Telnyx or your own SIP trunk.

  2. 2

    Give it your clinic

Upload the documents your front desk works from — hours, fees, insurance, prep instructions, policies. Sona answers from those, and only those.

  3. 3

    Go live and listen

Test every path in the browser, tune the wording, then switch the line over. Every call comes back as a transcript, recording and a row of captured data.

FAQ

Questions clinics ask

Will patients know it isn’t a person?

Most don’t — and Sona doesn’t pretend otherwise if asked. It listens and replies in real time, sub-second, with natural phrasing and interruptions, in the voice and script you choose. The annotated example on this page shows a real conversation with it.

What happens when it can’t help?

It says so plainly and offers a callback, or transfers to a human on the line you specify. It never invents an answer to sound helpful, and never claims an appointment change succeeded unless the calendar write actually did.

Does this replace my front desk?

It replaces the phone queue, not the people. Your team stops being interrupted by the phone and spends that time on the patients in the building. Most clinics redeploy staff rather than reduce them.

How long does it take to go live?

Days. Connect a number, link your calendar, upload the documents your front desk works from. No EHR migration, no professional-services project.

Is patient data safe?

Deploy Sona in your own environment and recordings, transcripts and PHI never leave it. The Customization plan adds SSO, audit logs and support for HIPAA, PCI and SOC 2 programmes.

What about accents, other languages and bad connections?

Handled. Normal multilingual speech and imperfect audio don’t restart the call or trip it up — Sona works from the latest clear thing the caller said and the full conversation so far.

Can it handle our call volume?

Yes — it answers every line at once. Outbound confirmation runs respect concurrency limits, calling-window rules and automatic retries, and pause themselves if the failure rate spikes.
